Privacy Notice
Effective January 2026
This notice covers theacaway.com, our registration site, this event app, our email and text message programs, our call center, and information we collect at the conference.
Who We Are
ACA Way Inc. produces the ACA Way conference, held September 23 and 24, 2026 at the Hilton Miami Downtown. Our address is 3399 NW 72nd Avenue, Suite 228, Miami, Florida 33122. You can reach us at events@theacaway.com or 1-888-508-6374.
What We Collect
- When you register: your name, job title, company, email address, phone number, mailing address, ticket type, any promotional code you use, and any dietary or accessibility needs you tell us about. Card payments are handled by our payment processor. We never see or store your full card number.
- When you use this app: your profile, the sessions you view or bookmark, messages and posts you send, and your answers to polls and surveys. Your profile is visible to other attendees unless you change your settings.
- At the conference: a record of your attendance and the sessions you attend, and photographs, video and audio of sessions and public areas. Your badge shows only your name and title.
- On our website: your IP address, browser and device details, and the pages you visit.
- If you are a speaker, sponsor or exhibitor: your biography, headshot, title, company details, logo, website and social media handles, which we publish in the app and in event materials.
What We Use It For
Registering you and issuing your badge. Running the conference, including sessions, room capacity, catering, accessibility and the hotel room block. Operating this app. Answering your questions. Sending you information about the event. Producing session recordings, captions and photography. Understanding what worked so the next one is better. Promoting ACA Way. Meeting our legal, tax and accounting obligations.
Sponsors and Exhibitors
ACA Way is made possible by our sponsors and exhibitors, and we work closely with them to put the event on. Here is precisely what that means for your information.
We do not give sponsors, exhibitors or partners an attendee list, an email list, or an export of our registration data. They do not receive your details because you bought a ticket.
They receive your contact information only when you choose to give it to them: in person at the event, or by connecting with them in this app. Your badge shows only your name and title, and carries no email address or phone number.
If you hand over a business card, enter a giveaway a sponsor is running, or sign up for something they are hosting, you are choosing to share your details with them in the same way. Each of those is a decision you make in the moment, and you can decline any of them and still attend everything you paid for. Once a sponsor has your information, what that sponsor does with it is governed by its own privacy policy, not ours. If a sponsor contacts you afterwards and you want them to stop, contact them directly. Ask us and we will help you find the right person.
We Do Not Sell Your Information
We do not sell your personal information. Our website uses Google Analytics to understand how the site is being used. We do not use advertising trackers that follow you to other websites.
Who Else Handles Your Information
We use service providers who work for us under contract and are not permitted to use your information for their own purposes: Idloom for registration, EventMobi for this app, Interprefy for live captions and translation, our payment processor, and our email and text message providers. Some of them are located outside the United States, including in Belgium, Canada and Switzerland.
If you book a room in our block, the Hilton Miami Downtown handles your reservation under its own privacy statement.
Some of the contracts behind this event, including our agreement with the hotel and our live captioning service, are held by Ebbiflow LLC, a company we previously operated through and which still holds those agreements. Where information about you is processed under one of them, it is processed for this conference and handled under this notice, and ACA Way Inc. remains responsible to you for it.
We may also disclose information where the law requires it, to protect the safety of attendees and staff, or if ACA Way is sold or reorganized.
Photography, Video and Live Captioning
Sessions and public areas at ACA Way 2026 are photographed, filmed and recorded. By attending, you understand that your image, likeness and voice may be captured, and that we may use those recordings for event operations, session archives, press, and to promote ACA Way and future events.
Our stages use AI live captioning and translation, which means the audio of what is said on stage, including questions asked at an audience microphone, is processed by that service to generate captions and translations.
Email, Text Messages and Phone Calls
- Email. When you register we add you to our event mailing list and send you information about this conference and future ACA Way events. You can unsubscribe at any time using the link at the bottom of every marketing email. We will still send you the messages we have to send, including your confirmation, receipts, and important updates about an event you are attending.
- Text messages. We send texts only to people who have separately agreed to receive them. Buying a ticket does not sign you up. If you opt in, message and data rates may apply, and you can reply STOP at any time to cancel.
- Phone calls. We may call you about your registration or about ACA Way events. If you ask us to stop calling, we will add you to our internal do not call list and stop, across all of our campaigns and not just the one you were called about.
Cookies
Our website uses cookies so that it works properly and so we can understand how it is being used. You can block or delete cookies in your browser settings, though some features may not work if you do. In this app, some cookies are required for the app to function and cannot be switched off while you use it.
How Long We Keep It
Only as long as we need it, and then we delete it or anonymize it. Registration and payment records are kept for as long as tax and accounting rules require. App data is kept for the event and a limited period afterward. Marketing contacts are kept until you unsubscribe. Unsubscribe and do not call records we keep permanently, because that is how we remember not to contact you. Session recordings and event photography are kept as part of our archive.
How We Protect It
We use encrypted connections, we limit access to the people who need it, and we put our service providers under written agreements before we send them anything. No system is completely secure, and we will not claim otherwise.
Your Choices and Your Rights
You can ask us what we hold about you, ask us to correct it, ask us to delete it, unsubscribe from our emails, opt out of text messages, ask to be added to our do not call list, and change your cookie settings at any time. Depending on where you live, you may have additional rights under your state or national law. Ask us and we will tell you what applies to you.
Email events@theacaway.com or call 1-888-508-6374. We will ask a few questions to be sure it is really you, and we aim to respond within 45 days. We will not treat you differently or charge you more for asking.
Children
ACA Way is a professional conference for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
Other Websites
We link to sponsors, speakers, the hotel and others. We do not control those sites and are not responsible for their privacy practices.
Changes to This Notice
We may update this notice. When we do, we will change the date at the top and post the new version at theacaway.com/privacy.
